If you have a sales team (or if you are doing the selling yourself), you know the pain: 

  • You can't listen to every recording. 
  • You can't remember every mistake you made. 
  • And you definitely don't have time to write up detailed feedback reports for every 30-minute Zoom call.

Today, we are solving that.

We are giving you a pre-built system that connects Fireflies.ai (transcription) to n8n (automation) and Google Sheets (database). It runs automatically in the background, critiquing your performance and suggesting better answers.

To set this up, we need to connect a few dots.

The image above shows the logic. Fireflies captures the audio, n8n grabs the transcript, an AI Agent analyzes it against your specific playbook, and the results are saved for you to review.

Part 1: The tech stack

To make this work, you need three specific tools. 

The beauty of this stack is that it is low-code and highly scalable.

  1. Google Sheets template: This is where your data lives. We’ve built a template that has columns for Meeting ID, Summary, Sentiment, Qualification Status, Weaknesses, and actionable "Missed Questions."

  2. N8N account: This is the engine. You will import our pre-built flow here. This tool talks to Fireflies and sends the data to Google Sheets.

  3. Fireflies.ai account: This is the ears. It joins your meetings, records them, and differentiates between speakers (which is crucial for coaching).

Note: While we use Google Sheets for this easy setup, long-term we recommend moving this data to Airtable, Postgres, or NocoDB for better scalability.

Part 2: The "brain"

This is where most people fail with AI. They just ask ChatGPT "Was this call good?"

But "good" is subjective.

For the AI to actually coach you, it needs to know who you are selling to and how you sell. Without this, the feedback is generic and useless.

To configure the AI, you need to have four documents ready (we covered 2 of these in earlier days of the calendar):

  1. ICP Memo: Who is the target audience? (click here to open guide to build it)

  2. Offer Memo: What are you actually selling? (click here to open guide to build it)

  3. Meeting categories: What types of calls do you have? (Internal, Sales, Support, etc.) (click here to open CustomGPT for this)

  4. Sales methodology: Do you use MEDDIC? SPIN? Consultative selling? What is your process? (click here to open CustomGPT for this)

If you haven't defined these yet, go to the ICP Memo and Offer Memo to get yours.

The AI needs these inputs to understand if a "missed question" was actually missed, or if it just wasn't relevant for that specific customer profile.

And use the CustomGPT to get your meeting categories and sales approach.

Part 3: The Fireflies setup

You need to allow the system to access your calls.

If you haven't used Fireflies before, it's a game changer. It transcribes everything and allows you to chat with your meeting data.

Here's the list of steps to do this:

  1. Sign up for Fireflies, if you don't have an account.

  2. Go to your Fireflies Settings.

  3. Navigate to Developer Settings.

  4. Look for the Webhook URL field.

  5. Copy the "Production URL" from the n8n workflow we provided (the node labeled Receive transcript from Fireflies).

  6. Paste it into Fireflies and toggle "Transcription Completed" to ON.

Now, the second a meeting finishes processing, Fireflies throws the data to our n8n engine to start working.

Part 4: The categorization of meetings

You don't want the AI to sales-coach you on your internal daily stand-up meeting. That’s a waste of credits and data.

The system includes a "gatekeeper" step.

When a transcript comes in, the first thing the AI does is read the context and categorize it.

  • Is this a sales call? -> Proceed to analysis.

  • Is this a client support call? -> Maybe log it, but don't run sales critique.

  • Is this an internal meeting? -> Ignore.

Action Item: In the n8n template, you need to find the "Categorize meeting" node and paste in your specific meeting types. We have included a helper GPT in the resources to help you map out your meeting topology if you aren't sure what yours are.

Part 5: The AI critique and output

Once the call is identified as a "sales call," the magic happens.

The AI takes your sales methodology (e.g., "We sell in 2 calls, we need to identify pain and budget in call 1") and compares the transcript against it.

It doesn't just summarize. It scores.

The output you get in Google Sheets includes:

  • Sentiment: Was the prospect happy, skeptical, or angry?

  • Qualification: Is this lead qualified based on your ICP? (Yes/No/Unsure)

  • Strengths & weaknesses: What did the rep do well? Where did they stumble?

  • Missed questions: This is the most valuable part. The AI will tell you: "You forgot to ask about the budget timeline," or "You didn't dig deep enough into their current vendor pain."

  • Actionable next step: One concrete thing to do to move the deal forward.

With this you'll automatically after every call get feedback on your call. 

Things that were good, what was bad, and what you forgot asking. 

Guiding you or your team to get better for every call completed.

Part 6: Next Steps & Scaling

This guide covers version 1.0.

Once you have this running, the possibilities are endless. Because the data is now structured in n8n, you can easily add "lego blocks" to the end of the workflow:

  1. Slack Integration: Tag the specific sales rep in a Slack channel with their call score immediately after the meeting.

  2. Email Drafts: Have the AI draft the follow-up email to the client based on the "Next Steps" discussed in the call, and save it to the rep's drafts folder.

  3. CRM Sync: Push the "qualification status" directly into HubSpot or Salesforce.

My recommendation? Start with the Google Sheet.

Run it for two weeks. 

Read the feedback. 

If the AI is being too harsh or missing context, tweak the "sales methodology" prompt in n8n. 

Once the feedback is accurate, then automate the delivery to Slack/Email.
